Report 16.5 Students with Disabilities - Student Services (EOY 4)

Description: Reports the counts of students with disabilities by services received and primary disability category

Report Type: Snapshot / Certification (EOY 4)

Data As Of:

  • EOY 4 Snapshot version, entire academic year

Basic selection criteria:

Students Included: Students with a qualifying enrollment who have an associated qualifying Special Education Record (SPED) and who are receiving services at any time during the report period.

  • Qualifying Enrollment:
  • Most recent Open Enrollment at any time during the Report Period. The “most recent” SENR record is defined as the last enrollment based on the last Student Enrollment End Date on or after the report period start date. In cases where more than one SENR record overlap the reports period, priority is given to Primary Enrollments. In cases where more than one SENR record for a student with the same Enrollment Exit Date exists, use the top record ordered by descending order by Student Enrollment Start Date, Grade Level Code (sorted on reference key), and CDS.
  • Enrollment Status Code = Primary (10), Secondary (20), or short-term (30), and Non-ADA (50)
  • Default Grade Level = IN, TD, PS, KN-12

  • Qualifying Special Education Data:

  • SPED record where Education Plan Type = IEP (100), IFSP (150), ISP (200) – based on Special Education Meeting Date or Amendment Date (if populated) overlapping the qualifying enrollment for the same Reporting LEA
  • SSRV records associated (i.e. same Reporting LEA, SSID, Special Education Meeting or Amendment Identifier) with the most recent SPED record where the Meeting Type does NOT equal Triennial Meeting (40).

  • Student Information (SINF), Student Program (SPRG) and Student English Language Acquisition (SELA) and Foster Youth data used for selecting student subgroups (e.g. Race/Ethnicity, Homeless, EL, etc.) are selected from the most recent record that overlaps the qualifying enrollment

Note: In order for a student to appear in a particular SELPA count, they must have the SELPA code reported on the SSRV record that overlaps the qualifying enrollment at the same reporting LEA as on the SENR record AND the SELPA code from the SSRV record has a reporting relationship with the Reporting LEA.

Report Filters:

Filters can be selected resulting in only totals for the selected filter being displayed

  • Grade Level Code
  • Service Category – Defaults to Service Categories: 300s – 900s.
  • Education Plan Type – Defaults to 100, 150 and 200
  • English Language Acquisition Status
  • Socio-Economically Disadvantaged
  • Title 1 Part C Migrant
  • Homeless
  • Foster Youth
  • Student Age – Defaults to 3 – 22 years. Calculation: 6/30/ReportingYear minus Birth Date from the most recent SINF overlapping qualifying enrollment

1 SELPA Code: derived from reporting SELPA from SPED record
2 SELPA Name: determined by #1 and the CALPADS Security Model
3 Service Category: Calculated field – 15.13-Special Education Service Code. All services are categorized under the following category based on the hundreds code in the code set. (example, 210 is rolled under the 200 category).
Service Category:
200s – Infant Services
300s – Instructional Services
400s – Occupational and Physical Services
500s – Social, Behavioral and Psychological Services
600s – Low Incident Services
700s – Visual and Hearing Services
800s – Transition Services
900s - Other services
4 Special Education Services: Special Education Service from SPED (display code + description) SSRV 15.13-Special Education Service Code.
5 Total Students: Total unduplicated count of SSIDs at each aggregate level. If a student was reported under more than one disability category, count the student only once. If the student was reported under more than one school, count the student only once in this aggregate SELPA total – For this aggregate at the SELPA level – count student only once. If student is receiving more than one service at the SELPA, count the student only once. LEA Total – For this aggregate, Count the student only once if they are receiving more than one service across SELPAs. For example, if the student received two services in SELPA 1 and one service in SELPA 2, the student is only counted once in the LEA total
