Report 16.25: Students with Disabilities – Initial Part B Evaluation 60-day Timeline Student List

Description: Reports details for students who are enrolled on the report date OR who have held initial Part B evaluations within academic year of the report period, and are either:

  1. Overdue, Exceeded 60-days
  2. Evaluation Held Late, Exceeded 60-days
  3. Pending Evaluation, 60-days Not Yet Exceeded
  4. Timely Evaluation within 60-days

Note: Monitoring Category = Overdue, Exceeded 60-Days that are Non-Compliant are used for CDE monitoring. Non-Compliant is defined by Meeting Delay Code = 90 or no Meeting Delay Code populated.

Basic selection criteria:

  • Students and data included: Students with a qualifying enrollment as of the report date who have a MEET record or pending MEET record for an Initial Part B Evaluation within the last extended Academic Year (5/1/previousAY – 6/30/currentAY), based on the Initial Parental Consent Date OR students without a qualifying enrollment on the report date in any LEA but have a MEET record or pending MEET record for Initial Part B Evaluation within the last extended Academic Year (5/1/previousAY – 6/30/currentAY), based on the Initial Parental Consent Date

Qualifying Enrollment:

  • Enrollment Status = Primary (10), Short-Term (30), Non-ADA (50)
  • Grade Level = PS, TK - 12
  • Most recent Open Enrollment on the Report As Of Date. Most recent = the last enrollment based on the last Student Enrollment End Date on or after the report period start date. Students whose most recent SENR record on Report As Of Date is E155/E156 exit are considered qualifying enrollment for monitoring report purposes
  • In cases where more than one SENR record overlap the report date, priority is given to Primary Enrollments, Short-Term, and then Non-ADA Enrollments. In cases where more than one SENR record for a student exists with the same Exit Date exists, use the top record in descending order by Start Date, Grade Level, and CDS.

NOTE: Students may appear on report without a qualifying enrollment if the student has an Initial Part B Evaluation MEET record within the extended AY of the report date, based on the Initial Parental Consent Date

Qualifying Data:

  • If student has a qualifying enrollment:

    • Pull all MEET records where Meeting Date is populated and Evaluation Type code = 10 (Initial Part B) AND Initial Parental Consent Date is between May 1 of the prior AY and June 30th of the AY in the Report As Of Date
    • Pull only the MEET record where Pending As Of Date is populated and Evaluation Type code = 10 (Initial Part B) AND Initial Parental Consent Date is between May 1 of the prior AY and June 30th of the AY in the Report As Of Date and no subsequent Part B Initial (10) MEET record exists where Meeting Date is greater than Pending As Of Date and Parental Consent Date is the same as the Initial Parental Consent Date of the Pending record.
  • If student does NOT have qualifying enrollment:

    • Pull only the MEET records where Meeting Date is populated and Evaluation Type code = 10 (Initial Part B) AND Initial Parental Consent Date is between May 1 of prior AY and June 30th of the AY in the Report As Of Date AND Reporting LEA in the MEET record is the same as the Requesting LEA
    • Pull only the MEET record where Pending As Of Date is populated and Evaluation Type code = 10 (Initial Part B) AND Initial Parental Consent Date is between May 1 of prior AY and June 30th of the AY in the Report As Of Date AND Reporting LEA in MEET record is same as Requesting LEA AND no subsequent Part B Initial (10) MEET records (from any LEA) exists where Meeting Date is greater than Pending As Of Date and Parental Consent Date is the same as the Initial Parental Consent Date of the Pending record.
    • Student Information (SINF), Student Program (SPRG) and Student English Language Acquisition (SELA) data used for selecting student subgroups (e.g. Race/Ethnicity, Homeless, EL, etc.) are selected from the most recent record as of the Report As Of Date

Report Filters: Filters can be selected resulting in only totals for the selected filter being displayed – legend on bottom of last page of report states which filter/s were selected

*Student Age Filter is calculated based on the student’s age as of the Report As Of Date – Report As Of Date minus Birth Date from SINF

**Calculation for Y, if Monitoring Category is:
- Overdue, Exceeded 60-Days AND Meeting Delay Code = 90 or null
- Evaluation Held Late, Exceeded 60-Days AND Meeting Delay Code = 90 or null
