Description: Reports a list of individual student data that supports aggregate views in other reports

Report Type: Snapshot (EOY 3)

Security Roles: EOY Reports

Data As Of:

  • Snapshot version, any time in the reported academic year (7/1 – 6/30)

Basic Selection criteria:

  • Enrollment Status = Primary (10), Secondary (20) or Short Term (30)
  • Grade Level = TK – 12
  • Open enrollment at any time during the Report Period (7/1/2025 – 6/30/2026)
  • Excludes one-day enrollments where Enrollment Start Date is between 7/1 – 8/15 and Completion Status is populated (aka summer grads)
  • PLAN record effective during the qualifying enrollment for the same reporting LEA

Note: If a student has more than one enrollment in the LEA, both enrollments will appear in the report

Report Filters: Filters can be selected resulting in only totals for the selected filter being displayed – legend on bottom of last page of report states which filter/s were selected

1 School Code Derived from user ID permission and Expected Schools table
2 School Name Determined by #1 and the Expected Schools Table
3 SENR Field 1.08 Unique identifier for the student assigned by the first California district of enrollment. This number follows the student throughout their enrollment within the California educational system
4 SINF Fields 2.13, 2.11, 2.12 Student Legal Last Name, Legal First Name, and Legal Middle Name
5 SENR Field 1.09 Identifier assigned to the student by a local educational agency
6 SINF Field 2.19 Student Gender Code
7 Ethnicity/Race Identified using SINF fields 2.24 (Student Hispanic Ethnicity Indicator), 2.25 (Student Ethnicity Missing Indicator), 2.26–2.30 (Student Race 1–5 Code), and 2.31 (Student Race Missing Indicator) per the following rules:

1. If Field 2.24 = Y, always roll up to Hispanic, even if one or more races are selected or Field 2.31 = Y
2. If Field 2.25 = Y, roll up to Missing, even if one or more races are selected or Field 2.31 = Y
3. If Field 2.24 = N and Field 2.31 = Y, roll up to Missing

Calculated as the earliest of the following three dates plus 7 years: (1) Earliest SELA where Status = EL; (2) Earliest SENR record where Enrollment Status = 10 or 30 and exit reason ≠ N470 and grade level is TK or higher; (3) Initial US Enrollment Start Date from most recent SINF.

Note: Populated if: (1) the most recent ELAS status = EL, RFEP, or ADEL, and (2) the LTEL Start Date is before the student becomes RFEP or ADEL (if applicable).
45 Initial US Enrollment Date (LTEL) SINF Field 2.36 Student Initial US Enrollment Date (K–12), from the most recent SINF record during the report period. Populated only if the LTEL Start Date is populated.
46 Earliest Enrollment Start Date SENR Field 1.22 Enrollment Start Date from the student's earliest SENR record where Enrollment Status = 10 or 30 and Enrollment Exit Reason ≠ N470. Populated only if the LTEL Start Date is populated, derived from CALPADS records regardless of which LEA submitted the record.
47 Earliest ELAS Start Date SELA Field 12.14 English Language Acquisition Status Start Date — earliest for the student where Status = EL. Populated only if the LTEL Start Date is populated.
